The problem this solves

Most CRMs fail at the data model, not the features. Duplicate properties nobody remembers creating, deals with no company attached, three teams counting customers three different ways, renewals tracked in a spreadsheet because the CRM has no place for them. Every workflow and report you build on top of that inherits the mess.

How we work

We start from your revenue process, not from HubSpot defaults. We map which entities your business actually runs on - companies, contacts, deals, and where justified custom objects for things like contracts, locations, or subscriptions - then decide what lives where, how records associate, and which team owns which field.

Then we build it in the portal: property groups per object, validation rules, lifecycle stage and lead status definitions, pipeline and deal stage architecture, association labels, and permission sets so people see what they need and cannot break what they should not touch.

The result is a Smart CRM foundation that migrations, automation, and reporting can safely build on. We have designed data models across 30+ HubSpot portals since 2021, including edge cases like multi-year contracts split into year-by-year deals.

How is this different from the CRM Setup module?

This module designs and builds the data model itself: objects, properties, associations, and pipelines. CRM Setup covers the operational configuration around it - users, teams, connected inboxes, meeting links, views. On greenfield projects we usually run both. If your portal exists but the model is wrong, this module alone fixes the foundation.

Do we need custom objects, or will standard objects do?

Standard objects stretch further than most people expect - the majority of B2B models fit contacts, companies, deals, and tickets with well-designed properties and associations. We recommend a custom object only when a real entity, like a contract or a rental unit, has its own lifecycle and its own reporting needs. Custom objects require an Enterprise tier, so we flag that before the model depends on one.

We already have data in HubSpot. Can the model change without breaking it?

Yes, but it is sequenced work. We map existing properties to the target model, migrate values, and only then deprecate old fields, so historical reporting keeps working. Workflows and lists that reference remapped properties get updated as part of the scope, not left to fail silently.
