CRM Data Migration & Data Quality Implementation

CRM Data Migration & Data Quality Implementation is a migration engagement that moves contacts, companies, deals, and activity history from a legacy CRM into HubSpot: field mapping, deduplication, sandbox dry-run, and a verified production import. It is for teams leaving Pipedrive, Zoho, Salesforce, Bitrix24, or similar systems without losing history.

The problem this solves

Migrations fail in the details, not in the export. Deal history that arrives without the emails behind it, duplicate contacts multiplied by every tool that ever synced, custom activity types with no obvious HubSpot equivalent, multi-year contracts that fit one record in the old CRM but need several in the new model. A naive one-to-one import carries every past mistake into the new portal.

How we work

We start with a field-by-field mapping workshop: what each object, property, and activity type in your current CRM becomes in HubSpot, what gets merged, and what deliberately stays behind. Odd business cases get modeled rather than skipped - on past migrations we have split multi-year contracts into year-by-year deals and consolidated ten historical pipelines into a few reportable ones.

Then we run a dry-run import into a test environment, review it with your team, and fix the mapping before touching production. The production import runs under supervision with throttling, because HubSpot API rate limits are real and we have already learned where they bite. Activity history, including emails matched to the right records, comes across wherever the source system allows it.

After import we verify record counts, spot-check with your team, and hand over a migration report documenting every mapping decision.

Deliverables

  • Field and object mapping document covering every source entity
  • Deduplication and cleanup rules applied before import
  • Sandbox dry-run reviewed with your team
  • Supervised production import with activity and email history
  • Post-import verification with record counts and spot checks
  • Migration report documenting all mapping decisions

What buyers ask before scoping.

Which CRMs do you migrate from?

Pipedrive, Zoho, Salesforce, Bitrix24, ActiveCampaign, Mailchimp, Zendesk, and legacy systems via custom exports. The tool matters less than the data shape - custom activity types, renegotiated contracts, and owner history are where the mapping work actually happens, and those exist in every system.

Can you commit to a fixed go-live date?

We commit to a date for the base migration after the dry-run, not before. Edge cases in historical data and HubSpot API rate limits are the two variables that move timelines, and both only show their real size once the first test import runs. We say this upfront because a confident date quoted before the dry-run is a guess.

What happens to our duplicates and dead data?

We agree deduplication and archiving rules before import: what merges, what wins on conflict, and what does not deserve to come along at all. Importing junk into a clean portal is the most expensive way to store it. After go-live we configure HubSpot data quality tooling so the cleanup holds.
