The problem this solves
The integration worked in the demo. After launch, two systems overwrite the same field, the sync hits the API limit and errors land in a log nobody reads. Finance finds the discrepancies a few months later.
How I work
First I map which systems exchange which data, in which direction, what triggers each transfer and which system is the source of truth for each field. I include ERPs, invoicing tools and online stores, which often have no ready-made HubSpot integration.
Every connection gets a spec: field mapping and transformation, a conflict rule, a sync frequency that fits HubSpot API limits, retries, an alert and a log. Finally I choose a tool for each connection: an existing integration, Make or custom code in Node or Python, with the reasoning and a named owner for maintenance.
What you get
- A diagram of connections between systems
- Field mapping for each integration
- A source of truth and conflict rule for every field
- Error handling, alerts and logging
- Sync frequency matched to API limits
- A tool for each connection: existing integration, Make or custom code
