HubSpot vs Zoho

HubSpot or Zoho: the real difference is not the licence price.

Zoho sells breadth: CRM, Campaigns, Desk, Books and 40+ more apps at a low per-user price. HubSpot sells one platform on one data model. This page compares the two the way a buyer should - pricing logic, data architecture, reporting, migration effort - written by an EU-based HubSpot consultancy that has moved B2B teams off Zoho and will tell you when not to.

The detailed comparison

HubSpot vs Zoho across 12 criteria.

Prices below are 2026 list prices in round numbers - both vendors change tiers and packaging, so verify current pricing before deciding. The architecture points do not change with the price list.

CriterionZohoHubSpot
Pricing modelPer app, or the Zoho One bundle. Zoho CRM roughly $14-52 per user per month; each additional app (Campaigns, Desk, Analytics, Flow) adds its own fee.Per hub and seat. Sales Hub Professional around EUR 90 per seat per month; Marketing Hub Professional from around EUR 800 per month. Higher entry, one bill.
Data modelEach app keeps its own database. CRM, Campaigns and Desk hold separate copies of a contact, kept aligned by connectors. One Smart CRM object model. Contact, company, deal and ticket are the same record in every hub.
AutomationWorkflow rules per app, Zoho Flow for cross-app scenarios, Deluge scripting for complex logic. One workflow engine across marketing, sales and service. Typical B2B processes need no scripting.
Email marketingZoho Campaigns is a separate app synced to the CRM; segmentation depends on sync state.Email runs natively on CRM data; segment on any property with no sync layer in between.
Sales toolsSolid pipeline in Zoho CRM; forecasting and advanced features sit in the upper tiers.Pipeline plus sequences, meeting scheduler, forecasting and playbooks in one hub.
ReportingPer-app reports; cross-module analysis requires Zoho Analytics as another product with its own data syncs.Cross-object report builder and multi-touch attribution on the same database.
AIZia assistant; capabilities vary from app to app.Breeze across the platform: copilot, agents and data enrichment working on the shared record.
Content and SEOLanding pages and Zoho Sites as separate products; little SEO tooling.Content Hub: CMS, blog and SEO recommendations on the same contact data.
EcosystemPrimarily Zoho's own 45+ apps; the third-party marketplace is smaller.Around 1,800 integrations in the app marketplace.
ScalingBuilt for SMB; growth usually means more Zoho apps and more admin surface.Scales into mid-market: teams, permission sets, custom objects, sandboxes.
SupportPremium support is a paid tier, priced as a percentage of the licence.Phone and chat support included from the Professional tier up.
Migration pathStandard objects are covered by HubSpot's native migration tooling; custom modules and contract history need hands-on modelling.A standard migration target: the work is in the data model, not in the transfer itself.

What the licence line hides

On licences alone Zoho usually wins, and not by a little. Twenty sales seats on Zoho CRM Enterprise cost in the order of $800 per month; a comparable HubSpot Sales Hub Professional setup lands around twice that. The gap narrows once you price the whole system: Zoho Campaigns for marketing, Zoho Analytics for cross-module reporting, Zoho Flow for automations that cross app boundaries, plus the admin hours that keep all those syncs healthy. For some teams the total still favours Zoho. For most B2B teams past roughly 20 people, it stops being obvious.

Architecture beats feature lists

The data model row matters more than any single feature row. Zoho grew by shipping and acquiring many apps; each keeps its own database, and the suite is held together by connectors. That works until it does not: a contact exists in CRM, Campaigns and Desk in three slightly different states, dedupe rules disagree, and every cross-module report starts with a reconciliation exercise. HubSpot was built the other way around - one object model first, products on top - which is why its reporting and automation reach across the funnel without a sync layer.

The migration trigger we actually see

The pattern that puts Zoho teams in our inbox is consistent: the company glued five or more Zoho apps together over a few years, and the data no longer agrees with itself. One recent example - a B2B client in commercial real estate proptech - came to us with multi-year contracts stored as single Zoho deals. During the migration we split them into year-by-year deals in HubSpot so revenue reporting finally matched how the business actually renews. That modelling is the real work of a migration; moving the fields is the easy part.

The honest bottom line

If your requirements are simple, budget is the hard constraint and your team accepts the patchwork, Zoho is a rational choice and we will say so on a call. Once decisions depend on coherent data across marketing, sales and service, HubSpot is usually the cheaper system to run - after you account for everything the licence line hides. Common questions

HubSpot vs Zoho, answered straight.

Is Zoho really cheaper than HubSpot?

On the licence line, yes - often by half or more. On system cost it depends: price in the extra Zoho apps you will need (Campaigns, Analytics, Flow, Desk), the paid premium support tier if you want real SLAs, and the admin time that keeps cross-app syncs healthy. We build that comparison with clients on real seat counts, and sometimes Zoho still wins it. Figures on this page are 2026 list prices - verify current ones before deciding.

When does Zoho stop being enough?

The reliable signals: your team runs five or more Zoho apps, cross-module reports require manual reconciliation, the same contact exists in different states in CRM, Campaigns and Desk, and someone spends real hours each week maintaining syncs. At that point you are paying platform-level effort for suite-level tooling, and the price advantage has quietly evaporated.

What does a Zoho to HubSpot migration actually involve?

Standard objects - contacts, companies, deals, activities - transfer through HubSpot's native migration tooling. The real work is modelling: custom Zoho modules mapped to HubSpot objects and properties, consent fields aligned, and revenue history restructured where Zoho's deal shape does not match how you report. We run a phased cutover with both systems live until the numbers reconcile.

Can we keep some Zoho apps and connect HubSpot on top?

Finance tools like Zoho Books can stay and integrate cleanly. Keeping Zoho CRM as the system of record and bolting HubSpot on for marketing is the one setup we advise against: it needs two-way sync of contacts and activities, costs more than it saves, and starves HubSpot's automation and AI of the context they run on. Migrate the customer-facing stack, or stay put.

How long does the migration take?

The base transfer of standard objects is measured in days. What takes time is what the first import reveals: renegotiated contracts, moved owners, legacy fields nobody documented, workflows firing on import. We commit to a date for the base migration and scope the edge cases after the first test import - a fixed go-live promise made before seeing your data would be a guess, so we do not make one.

We customised Zoho heavily. Can HubSpot replicate that?

Usually yes, and often more simply. Custom modules become custom objects, most Deluge scripts become workflows or calculated properties, and what genuinely needs code moves to HubSpot's API or serverless functions. The audit stage lists every customisation you have and says which category each falls into - before you commit to anything.
