HubSpot Smart CRM Data Model Setup

Objects, properties, associations, pipelines and permissions set up in your portal around how you sell and serve.

  • engagementProject
  • productCRM

The problem this solves

Deals have no company attached, every department counts customers differently, and renewals live in a spreadsheet because the CRM has no place for them. Every new workflow and report inherits that mess.

How I work

I start with your sales and service process. We agree which records your company works with: companies, contacts, deals and tickets, plus custom objects for contracts, locations or subscriptions where they are justified. We also agree how records connect and which department owns which field.

Then I set it up in the portal: property groups on every object, validation rules, lifecycle stages and lead statuses, pipelines and deal stages, association labels, teams and permissions. If the portal already has data, I move values from old fields to new ones and only then archive the old fields. I update the workflows and lists that used them as part of the same work.

What you get

  • Objects and associations set up in the portal and documented
  • Properties in groups, with an owner and validation rules
  • Lifecycle stages and lead statuses agreed by sales and marketing
  • Pipelines with entry and exit criteria for each stage
  • Teams and permissions that match the model
  • A data model guide for your portal admin

What people ask before a quote

Do we need custom objects?

Usually not. Most B2B companies fit into contacts, companies, deals and tickets with well-built properties and associations. I suggest a custom object when a record, such as a contract, has its own lifecycle and its own reports. Availability depends on your edition, so I check it before we decide.

We already have data in HubSpot. Will changing the model break it?

It won’t if the changes happen in order. First I move values to the new properties, then I update workflows and lists, and I archive the old fields last so historical reports keep working.

How much does a data model setup cost?

We’ll work it out on the call, once I know your process and your portal. You pay for the HubSpot license separately, directly to HubSpot.
