The problem this solves
Outbound decays faster than any other channel. Sequences written six months ago keep running unchanged while reply rates slide, reps quietly rewrite messaging on their own, and nobody checks which segments actually book meetings. The team keeps sending because activity targets say so, but the meetings-per-hundred-contacts number nobody tracks keeps getting worse. Without a regular optimization loop, outbound turns into a volume habit rather than a channel.
How we work
Each monthly cycle follows the same loop: read the data, change something specific, measure the next batch. We pull sequence enrollment, open, reply, and meeting numbers from HubSpot, compare segments and message variants, and identify what actually moved. The point is trend over cycles, not one lucky week.
Then we ship the changes: rewritten sequence steps, adjusted enrollment criteria and task queues, refreshed target lists, and updated templates and snippets. Where reps handle replies inconsistently, we run short working sessions on objection handling and follow-up discipline, using real threads from your portal rather than theory.
The retainer runs on an agreed monthly hour band split between analysis, portal changes, and rep sessions. You keep a single prioritized backlog of outbound experiments, and every month closes with a short written summary of what changed and what the numbers did.
