HubSpot Territories and Account Assignment

Written rules for who owns which account, and automatic assignment of new companies and leads to the right rep.

The problem this solves

Two reps email the same company because nobody wrote down who owns it. A lead goes to whoever happened to see the form. When a rep leaves, their customers go without an owner for a long time.

How I work

First, the sales manager and I write down a split that usually lives only in people’s heads. That covers how you divide customers (region, company size, industry, product line) and which accounts matter most. I check whether that data is filled in on company records and suggest how to close the gaps.

In HubSpot, I create territory and segment properties, teams with permissions and views, and workflows that assign an owner to new companies and leads. Companies no rule covers go to a list for the sales manager to decide on. I compare the current split with the new one, and we agree on exceptions before the switch. I leave a written procedure for when someone joins or leaves the team.

What you get

  • A written territory and segment split
  • Territory and segment properties on company records
  • Workflows that assign owners to new companies and leads
  • Teams with permissions and views
  • A territory coverage report
  • A procedure for reassigning customers when the team changes

What people ask before a quote

What data do we need for assignment to work?

The data you split customers by, most often country or region, company size and industry. A rule can’t assign anyone when the field is empty, so I fill in the data first and then turn on the workflows.

What about customers whose current owner differs from the new split?

We go through the list of those companies with the sales manager before the switch. Some relationships are worth keeping with the current rep, and the rest move to the new owner on an agreed date.

How long does it take to roll out territories?

It depends on the number of reps, the state of your company data and how many exceptions the current split has. I’ll give you a timeline after reviewing your portal and talking to your sales manager.
