Migrate from Monday to HubSpot: deals, contacts and companies moved as real CRM objects, not board columns

Sales outgrew the boards. We map Monday items to HubSpot contacts, companies and deals, carry the deal history HubSpot can accept, and rebuild board automations as HubSpot workflows. Then we get your reps working in it.

Honest fit

When to move off Monday, and when to stay

Move when sales runs on Monday and it stopped fitting

Your pipeline lives in a board, forecasting is a manual roll-up of columns, and every rep has their own idea of what a status means. Monday is a work management tool with a CRM bolted on; once revenue reporting and follow-up automation matter, a purpose-built CRM carries them natively.

Move when you need a shared timeline per record

In HubSpot a contact, company or deal has one activity timeline: emails, calls, meetings and notes on the record itself. If your team keeps re-explaining deal context because it lives across columns, comments and updates, that is the trigger to migrate.

Stay on Monday when the boards are project delivery, not sales

If Monday is where you run project delivery, ops tasks or content calendars and sales is a small side board, ripping it out is a bad trade. In that case we often run HubSpot for revenue and keep Monday for delivery, connected rather than replaced. We will tell you when that is the honest call.

Data model gap

Why a Monday board does not map 1:1 to a HubSpot CRM

Core unit

Items and boards vs objects and associations

  • - Monday: a board holds items, items hold column values
  • - HubSpot: contacts, companies and deals are distinct objects
  • - The migration decides which board becomes which object
  • - Get this mapping wrong once and every report is wrong
Relationships

Column links vs typed associations

  • - Monday links records with connect-board columns and mirrors
  • - HubSpot uses typed associations: contact to company, deal to both
  • - We rebuild links as associations so one-to-many holds up
  • - This is what makes company-level reporting possible later
Pipeline

Status columns vs deal stages

  • - In Monday a status is a coloured column value per board
  • - HubSpot deal stages carry probability and pipeline logic
  • - We consolidate ad-hoc statuses into a few clean stages
  • - Legacy status changes preserved so history is not lost
Fields

Column types vs typed properties

  • - Monday columns are flexible and loosely typed by design
  • - HubSpot properties are typed: date, number, enum, currency
  • - Free-text columns get normalised into real dropdowns
  • - Bad data surfaces here, so we dedupe before import
History

Updates and comments vs the activity timeline

  • - Monday context lives in item updates and comments
  • - HubSpot records carry a single per-record activity timeline
  • - We carry the history HubSpot can accept as notes and activities
  • - We flag upfront what does not transfer 1:1, no surprises
Automation

Board automations vs HubSpot workflows

  • - Monday automations are board-scoped recipes
  • - HubSpot workflows are portal-wide and trigger on property changes
  • - We rebuild them, not copy them, around your process
  • - Notifications and assignment logic move with the pipeline

Straight answers

Migrating from Monday to HubSpot: common questions

What actually moves from Monday to HubSpot?

Contacts, companies and deals, plus the field data and pipeline stages behind them, and the history HubSpot can accept as notes and activities. HubSpot Smart Transfer for monday.com supports contact properties, company properties and deal pipeline stages, per HubSpot's supported data types list. Board automations do not move as-is; we rebuild them as HubSpot workflows.

Will we lose our deal history?

No, but we are honest that Monday context and a HubSpot timeline are not the same shape. Monday holds context in item updates and comments; HubSpot holds it in a per-record activity timeline. We carry across what HubSpot can accept and flag upfront anything that does not transfer 1:1, so nobody discovers a gap in the quarterly report.

Why not just export a CSV and import it?

Because a board is not a CRM object. A raw CSV push flattens typed associations, drops status-change dates and imports duplicates. HubSpot's own guidance describes a proper migration as several deliberate steps against a test environment, not a single import; see the HubSpot data migration guide.

How much downtime will there be?

Little to none for day-to-day selling. We dry-run the whole migration in a sandbox first, so the production cutover is a scheduled, verified load rather than a risky first attempt. Reps keep working until we flip over, then reconcile record counts before we call it done.

Do we need Operations Hub or a paid HubSpot tier for this?

Not for the migration itself. HubSpot Smart Transfer handles standard monday.com data types, and where the mapping is more custom we build it. Your tier depends on the automation and reporting you want after the move, which we scope honestly rather than pushing you up a plan to win the point.

Should we stay on Monday instead?

Yes, if Monday is mainly project delivery and sales is a minor board. Monday is work management with a CRM bolted on; if you are getting value from the delivery side, we often keep it for that and run HubSpot for revenue, connected rather than replaced. We will tell you when that split is the better call.
