Contacts, organisations, deals and the full activity history moved out of Pipedrive intact
We map every Pipedrive object to its HubSpot counterpart, dedup on the way in, dry-run in a sandbox, then cut over on a fixed date so your team sells in one system, not two.
What actually moves
Where each Pipedrive object lands in HubSpot
Records and their history
People become Contacts, Organisations become Companies, Deals stay Deals. Notes, calls, meetings and tasks move as engagements so the activity timeline survives the cutover.
HubSpot's own object mapping for Pipedrive matches this one to one: People to Contacts, Deals to Deals, Organisations to Companies, notes, calls, meetings and tasks to engagements.
The associations you would lose in a naive import
Deal participants come across as contact associations, products on deals become line items, and organisation relationships become labelled associations. These are exactly the links a CSV export flattens.
HubSpot supports these as a one-time post-sync transfer, and we verify each one after load.
Email activities and the logged-email gap
Email activities sync, but logged emails from Pipedrive do not come across the same way. We flag that gap before cutover so nobody assumes a thread moved when it did not.
See HubSpot's note on the difference between email activities and logged emails. A Data Hub subscription is required to sync Pipedrive activities.
Data model differences
Pipedrive and HubSpot do not model your data the same way
Person and Organisation vs Contact and Company
- - Pipedrive: People and Organisations, deal-centric
- - HubSpot: Contacts, Companies, Deals as first-class objects
- - Every mapping decision made before load, not during
- - Custom objects available in HubSpot if your process needs them
Email uniqueness is enforced on one side, not the other
- - Pipedrive lets two people share an email address
- - HubSpot enforces uniqueness on the contact email
- - Duplicates need a merge decision before or after load
- - We dedup rather than let records drop silently
Activities vs engagements
- - Pipedrive activities map to HubSpot engagements
- - Notes, calls, meetings, tasks carry across
- - Logged emails behave differently from email activities
- - Data Hub subscription needed for activity sync
Links between records need explicit handling
- - Deal participants become contact associations
- - Products on deals become line items
- - Organisation relationships become labelled associations
- - Handled as a post-sync step and verified
Owners have to exist before records land on them
- - User accounts must exist in HubSpot at load time
- - Otherwise owners get backfilled after the fact
- - Until then reps cannot see their own records
- - We sequence user setup ahead of the data load
Stage-change dates decide whether reporting survives
- - Pipeline history drives win rate and source reporting
- - A flat import can drop status-change timestamps
- - We preserve them so past reporting still works
- - Legacy pipelines consolidated, the rest archived
Straight answers
Questions we get before a Pipedrive migration
Should we run Pipedrive and HubSpot in parallel for a while?+
No. A parallel period turns into a permanent one, with reps hedging between two systems and asking whether the move is done yet. We set a fixed cutover date: from that day HubSpot is the tool you sell in, and Pipedrive goes read-only.
We have thousands of duplicate contacts in Pipedrive. Can you clean them first?+
We do not edit your source system without your sign-off, because it is your live selling data and you carry the risk on it. On one migration of around 94,600 contacts, roughly 3,000 shared an email address that HubSpot would not accept twice. We move the data in, then dedup and merge inside HubSpot where it is reversible and auditable.
Will we lose our deal history and win-rate reporting?+
Not if the migration is designed for it. The trap is stage-change timestamps: a flat import can drop them, and your win rate and lead-source reporting quietly disappear. We preserve those dates, consolidate old pipelines into your active ones, and archive the rest so past reporting still reads correctly.
Do logged emails from Pipedrive come across?+
Email activities sync, but logged emails behave differently and do not transfer the same way. We flag that before cutover so nobody assumes a thread moved when it did not. Syncing Pipedrive activities also requires a Data Hub subscription.
What do we, the client, have to do?+
A few decisions only you can make: how duplicates get merged, who owns which records, and your permission standard. On one project a permissions setup sat blocked for over two weeks because the access standard was never filled in. Migration is not just copying data; it is decisions about duplicates, ownership and permissions, and part of that is yours.
When is staying on Pipedrive the right call?+
If a single lightweight pipeline is genuinely all you sell with, you have no marketing automation or multi-object reporting on the roadmap, and no team adoption problem, Pipedrive keeps working and moving costs you time for little gain. If you are weighing the two on fit, read our honest HubSpot vs Pipedrive comparison before committing to a migration.
What guarantees the data actually arrived correctly?+
We dry-run the whole migration in a sandbox first, then reconcile record counts, associations and history after the real load. A bigger migration is several careful steps: understand the requirements, map fields, run against a test environment, then load gradually with observability, as HubSpot's own migration guidance recommends.
After the cutover
The work that makes the migration stick
CRM migrations
The full cutover service: field mapping, dedup, sandbox dry run and verified load from Pipedrive and other tools.
Sales Hub built around how you sell
Once the data is in, we set up pipelines, forecasting and reporting so the move actually changes how the team works, not just where the records live.
Training on your own portal
A team that lived in Pipedrive for years will not switch on a clean import alone. We train on your data so reps work in HubSpot from day one.
