Migrate from Salesforce to HubSpot: accounts, contacts, deals and the full activity history moved intact
We map the Salesforce data model onto HubSpot's, move records and their history with verified counts, and cut over with minimal downtime. The goal is not a clean import; it is a portal your sales team actually opens on Monday.
Honest fit
When to move, and when Salesforce is still the right call
Move when you pay for depth you never use
Salesforce carries enterprise depth that many mid-market B2B teams touch at maybe 20%. If your admin's real job is keeping the org running instead of shipping process changes, HubSpot's platform usually gets your team more done for less overhead.
Move when the tool needs a full-time admin to breathe
If every workflow change means a ticket to an admin or an external integrator, adoption stalls. HubSpot lets a RevOps lead build pipeline logic, sequences and reports without waiting on a developer for each edit.
Stay on Salesforce when the depth is load-bearing
Complex CPQ, deep territory management, thousands of custom Apex triggers, a mature AppExchange stack your business runs on. If that describes you, a migration removes capability you actually use. We will say so on the call rather than sell you a move.
Data model differences
Where Salesforce and HubSpot disagree, and what we do about it
Salesforce splits Leads and Contacts. HubSpot does not.
- - Salesforce keeps Leads as a separate object until conversion
- - HubSpot models everyone as a Contact with a lifecycle stage
- - We map Lead status onto lifecycle stage plus a custom property
- - Converted-Lead history is preserved, not flattened away
Accounts become Companies, hierarchies need a plan
- - Salesforce parent/child account hierarchies do not map 1:1
- - HubSpot uses parent-child company associations with limits
- - We decide upfront how deep the tree carries over
- - Association labels replace some Salesforce relationship fields
Opportunities become Deals, stage history is the risk
- - Stage names and probabilities map to HubSpot deal stages
- - Naive imports drop the stage-change dates and lose forecasting history
- - We move stage timestamps into dedicated properties
- - Multiple record types collapse into pipelines you choose
Tasks, events and email logs are the history nobody wants to lose
- - Salesforce Tasks and Events become HubSpot engagements
- - Calls, emails, meetings and notes map to timeline activity
- - We keep created-by and timestamp so the timeline reads correctly
- - Attachments and logged emails carry over where the API allows
Field-by-field mapping, not a best-effort dump
- - Every custom field gets a target property or a documented drop
- - Picklist values are reconciled to HubSpot dropdown options
- - Formula and roll-up fields get a HubSpot equivalent or a note
- - Record IDs are kept so you can trace any record back
Flows and Process Builder rules are rebuilt, not copied
- - There is no lift-and-shift for Salesforce Flows
- - We rebuild the automation logic as HubSpot workflows
- - Validation and assignment rules are re-implemented natively
- - We drop dead automation instead of porting the mess
Straight answers
Salesforce to HubSpot migration, the questions we actually get
Will we lose our sales history when we migrate from Salesforce to HubSpot?+
No, when it is done deliberately. The expensive mistake is silent: the import passes green while stage-change dates and old status labels quietly vanish, and marketing loses win-rate per source. We move those timestamps into dedicated HubSpot properties so forecasting and source reporting still work after cutover. We verify record counts against Salesforce before you go live.
How much downtime does the cutover take?+
We run the bulk load in a dry-run first, then do the final delta close to go-live so the freeze window stays short. Large or multi-currency datasets get moved under manual supervision, often on weekends, to keep the API budget clear. The exact freeze depends on record volume and how many integrations write into the CRM.
Can we keep the HubSpot-Salesforce integration running instead of migrating?+
Yes. HubSpot ships a native Salesforce integration that syncs records between the two, which is a valid path when you want HubSpot marketing on top of a Salesforce system of record. HubSpot documents the connection and sync setup here. A full migration is the right call only when you intend to retire Salesforce, not run both.
What about Salesforce Flows and Process Builder automation?+
They are rebuilt in HubSpot, not ported. There is no lift-and-shift between the two automation engines. We inventory your active Flows, validation rules and assignment logic, then re-implement the ones that still earn their place as HubSpot workflows. Dead automation gets dropped rather than carried over.
How do Salesforce Leads map into HubSpot?+
Salesforce keeps Leads as a separate object; HubSpot models everyone as a Contact with a lifecycle stage. We map Lead status onto lifecycle stage plus a custom property so converted-Lead history is preserved instead of flattened away. This is one of the mappings we agree with you before any data moves.
Who should run the migration?+
Someone who knows the HubSpot API and its quirks. HubSpot's own migration guidance says the same: understand requirements, design the mapping, test against a HubSpot environment, then migrate gradually. Small standardised moves can use HubSpot's own migration service; a decade of Salesforce history with custom objects is not one of those.
Why do you insist on adoption over a clean import?+
Because a technically perfect import that sales refuses to use is a failed project. A team that has lived in Salesforce for years will not switch after one training. We budget working sessions with sales and service to shape pipelines and properties around how they actually sell, so the new portal fits the process instead of the other way around.
Next step
What we do around the migration
CRM migrations
Field mapping, dedup, sandbox dry-run and verified record counts. A clean cutover from Salesforce, with the history and stage timestamps you report on kept intact.
Data Hub foundation
HubSpot as one clean source of truth after the move: deduplication, data modeling and governance so the portal stays clean past week one.
