CRM Data Migration to HubSpot

Contacts, companies, deals and history from your old CRM, moved after a test import, with the database cleaned up.

The problem this solves

Exporting from the old CRM is the easy part. Trouble starts with deal history missing its emails, duplicates from several syncs and multi-year contracts that were a single record in the old system. A one-to-one import carries every old error into HubSpot.

How I work

I map the data field by field: what each object, property and activity type from the old CRM becomes in HubSpot, what gets merged and what stays in the archive. Before the import we agree on rules for merging duplicates and on which records don’t move at all.

I run a full test import on a copy. Your team checks their own customers and deals, and I adjust the mapping. I pace the final import to fit HubSpot API limits. I move activity history, including emails tied to the right records, wherever the old system lets you export it. At the end I compare record counts on both sides, and the old system stays available for reference.

What you get

  • Object and field mapping from the old system
  • Rules for merging duplicates and archiving
  • A test import checked by your team
  • The final import with activity and email history
  • Record count comparison and spot checks
  • A write-up of every mapping decision

What people ask before a quote

Which systems do you migrate from?

Pipedrive, Zoho, Salesforce, Bitrix24, ActiveCampaign, Zendesk and monday.com, among others, plus spreadsheets. Custom activity types, owner history and contracts amended mid-term usually take more work than the system itself.

How long does a migration take?

It depends on the number of objects, the quality of your data and how much history there is. I give you a timeline after the test import, because that’s what shows how many exceptions your data has.

What about duplicates and old records?

We agree on the rules before the import: what gets merged, which record wins in a conflict and what stays in the archive. After launch I set up HubSpot’s duplicate tools so the database stays clean.
