CRM Data Quality Audit

You learn how many duplicates and empty fields your database has, and why the mess returns after every cleanup.

The problem this solves

Everyone knows the database is in bad shape, but nobody can say how bad. Reps keep their own lists, the newsletter reaches the same person several times, and lead routing fails because the region field is empty.

How I work

I measure the state of your database. I look for duplicate contacts and companies, including ones that differ by name spelling or domain. I check fill rates on the fields your processes depend on, so first we agree which fields those are. I separate records people edit from records only a sync changes. I check formats, dropdowns and free-text fields where a dropdown belongs.

For each problem I note its scale and its effect, such as which workflow fails because of an empty field. I also look for where the mess comes from: a form with no validation, an import with no duplicate check, a sync with bad mapping. The cleanup plan splits fixes into bulk updates, process changes and fixes not worth making.

What you get

  • Duplicate analysis for contacts and companies, with match confidence
  • Fill rates for the fields your processes depend on
  • Which records people edit, and which only a sync changes
  • The sources the mess keeps coming back from
  • A cleanup plan ordered by payoff and effort

What people ask before a quote

Do you clean the data during the audit?

No. The audit ends with a plan, and the cleanup is done by your team or by me, as a separate project. Fixes that are safe to make in bulk are marked separately in the plan.

Our data gets messy again after every cleanup. What can we do?

That’s why I look for the sources: a form with no validation, an import with no duplicate check, or a field reps type in by hand. Once the source is fixed, one cleanup is enough.

How much does a data quality audit cost?

We’ll work it out on the call, once I know your database. You pay for the HubSpot license separately, directly to HubSpot.

After you submit the form, you pick a time in my calendar. I prepare the scope and a quote after the call.
