The problem this solves
A rep closes a deal in HubSpot, and the bookkeeper types the same data into the invoicing tool again. Now and then the amounts don’t match, and finance has to track down the difference at month-end close.
How I work
Before the first connection, I draw a data map. It shows which HubSpot event creates what in your invoicing tool or ERP, which system owns each field and when data flows back to HubSpot. Sales and finance approve the map.
I check for an existing integration first. Where there is none, or it doesn’t cover your case, I connect the systems through the API in Make or custom code (Node, Python, AWS). Every write carries a key, so a retry never books a payment twice. The integration starts from a cutoff date, so old invoices don’t get pulled in. If the sync stops, the person you choose gets an alert with steps to take. I train your finance contact to read the sync log.
What you get
- A quote-to-payment data map approved by finance
- Sync of quotes, invoices and payments with your invoicing tool or ERP
- Protection against duplicate records
- An alert and instructions for when the sync stops
- A sync log
- Documentation and code that stay with you
